Three ways to spring clean your payroll in 2018

With winter behind us, now is a great time to spring clean payroll to make the necessary changes for the year ahead. With changes that will have a long-term impact on international HR and payroll departments, such as Brexit and GDPR, companies should be preparing not only for how these changes will impact HR and payroll, but also how effective long-term processes are.

With these changes in mind, what can companies around the world do to optimise their payroll in 2018?

1/ Automate manual processes

Conducting manual processes in the HR department can be slow, and often takes away valuable time from HR and payroll professionals. HR is fundamentally a people-facing role, yet a lot of time is taken away from speaking with employees directly because of the need to manually complete repetitive tasks.

By automating HR and payroll processes, the team can be freed up to focus on the tasks that directly impact employees, rather than spending time on repetitive and mundane tasks.

2/ Review payroll and data processes

With various legislative changes taking place in 2018, organisations can benefit from reviewing current payroll and data processes. Through HR and payroll teams reviewing the current processes, they can collaborate with other departments to work out what can be improved—whether by automating tasks or reducing and removing unnecessary processes.

3/ Develop a data register

When GDPR comes into effect, organisations will need to develop a data register to show what data they process, including what it is used for and when it will be destroyed. However, even for companies that do not deal with data in the EU, developing a data register can be very useful for HR and payroll teams.

Once a data register is in place, HR and payroll teams should frequently update the register, conducting reviews on a monthly, bi-annual, or annual basis. By filling in the data register with all information available, including the identity of the information owner, the necessary IT applications, and the location of files or data, the owner will have a complete understanding of the data that is processed by the company. In addition, the organisation will be able to explain how data is managed to both company employees and data regulation authorities when necessary. With many legislative changes taking place in 2018, spring cleaning payroll is essential. However, while implementing these changes may seem daunting, the long-term benefits include having the freedom to prioritise key tasks and a clear understanding of how employee and customer data is managed. This ultimately makes a spring cleaning process far more valuable than simply preparing for data regulation authorities.
